Create a playbook

Create a playbook from source text, a checklist, a policy, a review guide, a rule table, an uploaded document, or a Knowledge Base artifact. TextMine parses the content and saves it into a reusable playbook. Good source material includes:
  • Preferred clause positions.
  • Fallback positions.
  • Red flag language.
  • Escalation requirements.
  • Required fields or clauses.
  • Review questions.
  • Risk severity guidance.
  • Examples of acceptable and unacceptable wording.

A useful playbook rule should answer:

Scope and availability

Scope the playbook to the relevant teams, Vaults, or document sets when it should only be available for certain work. Keep draft playbooks disabled until they have been tested on representative documents. Users with playbook create permissions can edit, enable, disable, or delete playbooks depending on organization policy.

Run a playbook

Run a playbook against selected Vault documents from:
  • The Playbooks page.
  • Vault or the Vault editor.
  • Workbench.
  • A Workflow step.
Use the runs view to inspect status, source, document, output, and comparison details.

Review outputs

After a run, review:
  • Findings and recommendations.
  • Source passages and evidence.
  • Pass/fail or accepted/deviation status.
  • Risk severity.
  • Missing clauses or missing evidence.
  • Generated Word artifact or review memo where available.
  • Comparison details for each reviewed document.

Review analytics after runs

Use Playbook analytics once a playbook has completed runs. Analytics can show consistently compliant rules, rules needing attention, recommendations, potential conflicts, and rules that were not observed. Where reviewed Word document versions are available, analytics can also show whether non-compliant findings were resolved and how many reviewed iterations were needed.

Auto-apply

When configured, playbooks can be applied automatically after Vault document type detection or processing. Workflows can also apply playbooks as part of a larger document process. Auto-apply is useful when every document of a type should receive the same review, but it should be paired with review queues or approvals for high-risk outputs.

Agent guidance

Agents should inspect existing playbooks before creating a new one. When proposing a playbook, include rule topics, preferred positions, fallback positions, red flags, output format, and scope. Ask for approval before enabling a playbook, applying it to many documents, using results for publication or external delivery, or applying analytics recommendations.
